Q. What about payments for Overnight trips?
A. We request a per person deposit, usually $150-$250 per person, roughly 40 days after booking. The deposits are usually non-refundable. Final payment is generally due 45 days prior to your tour.

Q. What about payments for One Day trips?
A. Make one simple deposit of $750 at the time of signing the Agreement. For customers with established credit, the balance will be billed to you after your tour. All others will pay 30 days in advance.

Q. How many participants do I need?
A. Your minimum number of paying participants will be estimated at the time of booking and stated on your Tour Package Agreement. For example, a three bus tour would state:
The tour price of $55.00 per person is based on a minimum of 48 paying participants per motorcoach, aboard 3, 55 passenger motorcoaches. 48 x 3 = 144 minimum number of paying participants. Please note that all participants, less the free trips applied at a ratio of 1 free per 10 paying, are charged.

Q. What if I must cancel or reduce the number of participants?
A. Simply contact us prior to 21 days before your tour date and we will reduce your number of motorcoaches to best accommodate the revised group size. If you must cancel your entire tour, you may do so without penalty, excluding any non-refundable deposits, up to 21 days in advance of your tour date.

Q. What if our school system temporarily bans field trips?
A. You and your group are protected by Julian Tours' Travel, Our Perfect Freedom Guarantee.
This guarantee states: In the event of a county imposed ban on public school field trips, Julian Tours will apply deposit and balance payments to a future trip and waive any late cancellation fees. In some cases, the balance portion may be refunded via check. Payments which we have made on your behalf, and have been identified in advance as non-refundable, represent sunk costs to vendors. However, in some cases, some portion of that payment may be recovered by Julian Tours and, if so, we will apply that portion to a future field trip activity.

Q. What about snow emergency school closings?
A. You and your group are protected by Julian Tours' Snow Emergencies for Student Tours policy.
This policy states: Sponsors should contact Julian Tours the day before the scheduled tour. In cases where circumstances convincingly demonstrate that a Snow Emergency School Closing will occur the following day, Julian Tours and the sponsor may agree to cancel the tour the day before in accordance with the following provisions:
One-day Tours* may be cancelled and rescheduled at no additional cost providing the makeup date is established promptly, and the tour is rescheduled for operation within 14 days of the original tour date.
Overnight Tours* may be adjusted in advance to accommodate a delayed departure. In extended, severe Winter Weather Emergencies the above One-day Tours provisions may apply.
*On all tours, certain tour features and all theatrical performances may be substituted with another type of activity as selected by Julian Tours.

Q. How many free trips are included?
A. Our standard packages include one free trip for every ten paying participants. For example: 144 paying participants entitle you to 14 additional participants at no charge. 144 + 14 = 158 total participants. Please note that all participants, less the free trips applied at a ratio of 1 free per 10 paying, are charged. If you require a different number of free tours, we can make adjustments to fit your needs.

Q. How many teachers and chaperones should I bring?
A. We recommend a ratio of one adult for every ten students, which matches our ratio of one free tour for every ten paying participants.

Q. Can adult participants drive to meet a tour on their own?
A. For legal liability reasons, Julian Tours cannot recognize anyone not traveling aboard the motorcoach as a member of the group.

Q. What about my students with disabilities?
A. Simply inform us of your needs, at the time of booking, so that we may schedule the appropriate motorcoaches and confirm the feature arrangements.

Q. How do I contact Julian Tours in case of an emergency?

If your field trip includes our tour manager service, know that this dedicated professional is experienced and well traveled. Our tour managers are at the service of your group’s tour sponsor. Q. Are the motorcoaches equipped with a VCR/DVD player?
A. Our standard chartered motorcoaches are VCR and/or DVD equipped. If you have a special audio/visual requirement, please request it at the time of booking.

Q. Can articles be left aboard the motorcoach?
A. Articles generally can be left on the motorcoach, but the Motorcoach Company, driver or Julian Tours are not responsible for lost or missing items.
